At The Beauty Studio, we’re committed to protecting your personal data and privacy. This policy explains how we collect, use, and store your information—and how you can control it. Whether you’re booking a treatment, browsing our website, or just popping in to say hello, your trust matters to us.

What Information We Collect and Why

We collect personal details when you book an appointment, purchase a product, apply for a job, or visit the salon. This may include:

    •    Your name & contact details – So we can confirm appointments and stay in touch.

    •    Date of birth – To help us identify you and for your safety in emergencies.

    •    Medical history, allergies, medication – Essential for your safety and to comply with insurance requirements.

    •    Patch test results & treatment history – To ensure treatments are safe and consistent.

    •    Photos (with your consent) – Sometimes used to track treatment progress or, with permission, for social media.

    •    Marketing preferences & signed consent – To ensure we only contact you how you want, and to meet GDPR standards.

 

We also use CCTV on the premises for the safety of clients and staff, and as a deterrent against criminal activity.

 

For clients under 16, we require consent from a parent or guardian to hold any personal data.

How We Use Your Information

We use your personal data only when legally allowed to do so, such as:

    •    To provide the treatment or service you’ve requested

    •    To communicate with you about appointments

    •    To meet legal, insurance, or health and safety obligations

    •    When you’ve given clear consent (e.g. for marketing or photos)

 

We never sell or share your data with third parties, and access is limited to only those who need it—including our self-employed therapists and receptionists, where appropriate.

 

We work with the following service providers to manage bookings, communications, and digital systems:

    •    Ovatu (booking software)

    •    Mailchimp (email marketing)

    •    Wix & Google (website hosting)

 

We have strict data protection agreements in place with all providers.

 

Marketing

We’d love to keep you updated on special offers, new treatments, and salon news—but only if you’ve opted in. You can unsubscribe or update your preferences at any time by emailing thebeautystudio1@gmail.com or clicking the link at the bottom of any of our newsletters.

How Your Information Is Stored

    •    Paper records: Stored securely in locked cabinets with restricted staff access.

    •    Digital data: Stored in secure, password-protected systems using encrypted cloud-based software (Ovatu).

    •    Photos: Stored on password-protected salon devices. We’ll only use them for marketing with your signed permission.

 

How Long We Keep Your Data

    •    Client records: 7 years (as required by insurance providers)

    •    Unsuccessful job applicants: 4 months

    •    CCTV footage: Automatically deleted after 30 days

Your Rights Under GDPR

You have the right to:

    •    Access your data

    •    Correct any incorrect or outdated information

    •    Be forgotten (request full deletion)

    •    Restrict or object to processing

    •    Request portability (e.g. to transfer details to another salon)

If there is ever a data breach, we will inform affected individuals within 72 hours.
